Update students from a Kumon CMF report

Upload the CMF Excel file to add new students and bring everyone's Math and Reading levels and pages up to date.

Before you start

You need the CMF report saved as an Excel file (.xlsx or .xls). RollSheet reads the sheets named "Student (Math)" and "Student (Reading)". A file with only one of them works too.

Import the report

  1. In the sidebar, open Students (under Management) and click CMF Import.
  2. Click the upload box (Click to upload CMF Excel file) and choose the file. RollSheet reads it and shows a preview.
  3. Check the preview. Each student is marked New, Update or No Change. Use the filter buttons above the table to look at one group at a time.
  4. Click Import Students. If nothing changed you'll see "All students are already up to date" instead, and there's nothing to do.
  5. When it finishes, click View Students.

How students are matched

  • RollSheet matches on last name and first name, ignoring capitals. Only the first word of the CMF first name is used.
  • Inactive students are matched too. Their levels are updated, but they stay inactive.
  • If a student's name in RollSheet is spelled differently from the CMF, the import treats them as a new student. Fix the spelling on one side before importing.

What this affects

  • New students are created with their name, Math and Reading level and page, grade, date of birth and enrollment date. They have no Student ID or parent yet, so add those by editing the student.
  • Update only changes Math and Reading levels and current pages. Grade, birthday, enrollment date, parent details and schedule stay as they are in RollSheet.
  • Students who aren't in the file are left alone. The import never deactivates anyone.
  • New students use seats on your plan. The import stops with a plan limit message if they won't fit.

Tips

  • Run the import whenever you download a fresh CMF report. Students who are already up to date show as No Change and aren't touched.
