Drop or pick up a shift
Ask to give away a shift, offer to cover someone else's, and approve the swap as an admin.
- Who can do this
- All staff request drops and offer pickups. Admins approve.
- Where
- Operations → My Schedule · Operations → Available Shifts · Operations → Schedule
Ask to drop one of your shifts
- Open My Schedule and use the week arrows to find the shift.
- Click Request Drop on that shift.
- Add a Reason (optional) and click Send Request.
- The shift stays yours until an admin approves someone else to pick it up. Plan to work it until then.
- The shift shows Drop requested, then Pickup pending admin approval once someone offers to cover it.
- Changed your mind? Click Cancel Request.
Pick up someone else's shift
- Open Available Shifts. Under Open Shifts you'll see each shift's date, time, who dropped it and why.
- Click Offer to Pick Up.
- Only shifts you can actually take are listed. Your own drops and shifts that overlap one you already have are hidden.
- The first person to offer gets the request. After that the shift leaves the list.
- The shift isn't yours until an admin approves it.
Approve or deny a swap (admins)
- Open Schedule (under Operations). Pending requests appear in the Shift Drop Requests card.
- When a request shows Pickup offered by someone, click Approve to move the shift to them, or Deny to leave it with the original employee.
- Use Cancel to close a request that's no longer needed.
What this affects
- Approving moves the shift to the new employee on the schedule straight away.
- Denying closes the request. The original employee keeps the shift and the shift doesn't reopen for others.
- Admins get an email when someone requests a drop and when someone offers a pickup. Both employees get an email when the request is approved or denied.
- Other staff aren't emailed about open shifts, so remind the team to check Available Shifts.
